# cloud sync

> keep a copy of your meetings on miniti's servers so every device on your account has them

from v3.0.0, cloud sync keeps a copy of your finished meetings on miniti's servers and brings them to every device on your account. record on the mac, open the meeting on your iphone about a minute later. edits, speaker names, pins and deletes follow.

it is off by default. it needs pro on a managed account. it is not available in byok mode, which has no account.

<Warning>
  miniti keeps a copy of these meetings on its servers and can read them. that is what lets your other devices, the [api and mcp server](/docs/reference/api-and-mcp) and you on the web read them too. there is no end-to-end encryption. the copy is stored in neon postgres in frankfurt (aws eu-central-1), encrypted at rest and in transit. the [privacy policy](https://miniti.app/privacy/#cloud-sync) has the full list of what is stored and who can read it.
</Warning>

## turn it on

1. open **settings → cloud**
2. turn on **keep a copy of your meetings on miniti's servers**
3. a sheet says how many finished meetings on this device will upload and that everything your other devices hold will come here
4. optionally add an email for [web sign-in](#web-sign-in). you can skip this and add it later
5. choose **turn on**

the first upload runs oldest first. settings → cloud shows **uploading 12 of 340** while it works, then **up to date**. you can keep using the app; a push that is interrupted picks up where it left off.

on a free account the switch is disabled with the line **cloud needs pro. upgrade in settings, account**. in byok mode the tab shows **cloud needs the managed plan** and nothing else.

## what syncs

finished meetings, with everything the app saved about them:

* transcript and speaker names
* notes
* summary, action items, decisions, topics, discussion flow
* questions
* sales analysis (meddpicc)
* playbook cards
* the filled template
* pins
* the calendar event link and attendees
* granola imports, with their source label

## what does not sync

* audio. miniti never records audio to disk, on your device or on its servers
* coaching numbers. they are recomputed on each device from the transcript, so they can differ slightly if your filler-word lists differ
* markdown export files. auto-export runs on each mac separately; a meeting that arrives from another device is exported like any other when auto-export is on
* the live recording. a meeting uploads only after it has finished
* custom template definitions in settings → templates. a synced meeting carries a copy of the template it used, but the template itself stays on the device that made it
* settings, api keys, calendar and crm connections

## two devices

both devices must be on the same account, with cloud on in settings → cloud on each. add a device with the [recovery key](/docs/reference/account-and-recovery-key#adding-a-device) or, from v3.0.0, with an [email link](/docs/reference/account-and-recovery-key#sign-in-on-a-new-device-with-an-email-link-v300).

* a device checks for changes when the app becomes active and every 60 seconds while it is in front
* a change on one device reaches the other within about a minute
* if you edit the same meeting on two devices at the same time, the later edit wins and the other device shows the result on its next check
* a trimmed transcript is never undone by an older copy from another device
* a device that was offline for a long time catches up when it reconnects. nothing is deleted locally because it was missing from the cloud
* a meeting over 2 MB is kept on the device that recorded it. settings → cloud lists it as too large for the cloud

webhooks and automatic attio or twenty sends fire once, on the device that recorded or edited the meeting. a meeting that arrives from another device never fires them again.

## keep a meeting off the cloud

right-click a meeting in history on macos, or use the row context menu on ios, and choose **keep off the cloud**. the meeting stays on this device and its cloud copy is removed, so it disappears from your other devices. the same menu has **put on the cloud** to reverse it.

## delete

with cloud on, deleting a meeting deletes it on every device and in the cloud. the confirmation says **delete on all devices**. a deletion marker is kept for 30 days so devices that were offline learn about it, then it is purged.

**delete cloud copy** in settings → cloud removes every meeting, api token and connected app from miniti's servers. meetings on your devices stay. with the switch still on, they upload again on the next sync, so turn the switch off first if you want them to stay off.

**delete account** in settings → account removes everything, including the email and any web sessions. see [account and recovery key](/docs/reference/account-and-recovery-key).

turning the switch off stops uploads and downloads. it does not delete the cloud copy.

## private mode

[private mode](/docs/features/transcription#private-mode-v2120) is the opposite of cloud: nothing about a meeting leaves the mac. while private mode is on, cloud sync is paused and settings → cloud says so. meetings recorded under private mode are kept off the cloud for life, even after private mode is turned off. you can put one on the cloud by hand from the history menu, per meeting.

## web sign-in

an email on your account is optional. add it in settings → cloud and open the confirmation link. it does two things:

* signs you in at `https://api.miniti.app/signin` with a link sent to that address (15 minutes, single use), which is how you approve apps like claude.ai and chatgpt in the [mcp setup](/docs/reference/api-and-mcp)
* lets a new device join the account by asking for a link that you approve in the browser, so nobody types the recovery key
* opens your account page at `https://api.miniti.app/account`: plan, minutes used, cloud size, devices (remove one), connected apps (disconnect), api tokens (revoke) and browser sessions (sign out). making tokens, the sync switch, keep off the cloud, delete cloud copy and delete account stay in the app

the email never adds a device by itself; you approve each request. removing the email signs out every browser session and disconnects every connected app. one email per account, one account per email.

## when pro lapses

sync pauses. the switch stays on and the status line says why. the cloud copy stays until you delete it, api tokens and connected apps stop working, and nothing on your devices changes. subscribe again and sync resumes.

## troubleshooting

* **a meeting from the other device is not here** - make sure both devices are on the same account (settings → account lists the devices) and cloud is on in settings → cloud on both. bring the app to the front; it checks on activation. **sync now** forces a check
* **paused while private mode is on** - turn private mode off in settings → privacy, or wait: sync resumes on its own when it is off
* **status says cloud needs pro** - pro follows the account. buy it on one device and every device on the account is pro. see [tiers](/docs/pricing/tiers)
* **this device was removed from the account** - another device removed it in settings → account. local meetings stay. join the account again with the recovery key or an email link
* **a meeting is listed as too large** - it is over 2 MB and stays on this device only. trim the transcript to bring it under the limit
* **i switched to byok and sync stopped** - byok has no account, so cloud is off in byok. switch back to the managed plan to resume
* **the other device shows an older version of a meeting** - wait a minute. if it still differs, make a small edit on the device that has the right version; the newer edit wins
