smart meetings

smart meetings notices when a meeting may have started or ended, or when another meeting is approaching. it then helps you keep each recording with the right meeting. the setting is on by default. find it in settings → calendar & meetings. it works even when google calendar is not connected.

supported calls on macos

on macos, miniti can tell when a recognized call application starts or stops using an audio input stream. this is the primary meeting-boundary signal for supported virtual calls.

• when you are not recording, a small floating meeting detected prompt opens with the miniti logo, take notes with miniti, take notes, and not now. nothing records until you choose to start, unless you separately enabled calendar auto-start
• when the associated call ends and the transcript also agrees that conversation has stopped, miniti shows a 10-second finishing countdown
• choose keep recording to cancel the countdown and continue the same meeting, or end now to finish immediately
• if the same call returns during the countdown, miniti cancels the ending automatically and continues the same meeting
• short or empty recordings ask what to do instead of ending automatically

native coverage includes Zoom, Microsoft Teams, Slack, FaceTime, Webex, Discord, WhatsApp, Tuple, Dialpad, and Gather. Chrome, Safari, Edge, Arc, Brave, and Firefox are also recognized, but the prompt stays meeting detected because macos exposes the browser using the microphone, not which website or tab is responsible. browser calls use more conservative ending checks. if one application keeps the same microphone stream active between two consecutive calls, macos cannot prove where the first call ended. end the meeting manually or use a calendar transition in that case.

quiet fallback on macos and ios

after a meeting has produced a transcript, miniti can ask whether it ended when both the transcript and speech-like audio have been quiet for a reasonable period. this fallback works for calendar-linked and unscheduled recordings. on macos it covers in-person meetings, unsupported call apps, and calls where application detection is unavailable; on ios it remains the main non-calendar end signal because ios cannot inspect other apps’ audio use. the prompt appears before the configured silence auto-stop: for an established recording, the prompt can appear after 2 minutes of quiet when that quiet crosses :00 or :30. short pauses do not trigger it. choose:

• end meeting - stops and saves the meeting, then returns to Home so your next recording is separate
• keep recording - continues recording and waits at least 5 minutes before asking again

ignoring the prompt does not change your auto-stop setting. if auto-stop is off, recording continues until you end it.

between calendar meetings

with google calendar connected, miniti can show a prompt shortly before a different event begins:

next: design review starts at 10:30. is the current meeting over?

choose end & start next, keep recording, or remind in 2 min. miniti does not normally split a recording just because the clock reaches an event boundary. a 15-second automatic handoff is available only when:

• the current recording belongs to a calendar event that has ended
• the next event does not overlap and starts within 15 minutes
• calendar auto-start and calendar-aware auto-stop are both on
• no transcript or speech-like audio has appeared for at least 2 minutes

speech during the countdown cancels the automatic handoff.

recording indicator, notifications, and the menu bar

the in-app prompt is always available. when system notification permission has already been granted and miniti is in the background, miniti also sends an actionable notification. on macos, the menu bar shows a red REC badge and elapsed time while recording, plus call status and any ending countdown. clicking the notification or open miniti restores the main window if it was closed or minimized. the default-on floating surface opens when a supported-call question arrives, recording starts, or the ending countdown begins. while recording it shows the timer plus the recognized call app; click anywhere across the header to expand it for call, transcription, and audio status together with open meeting and end meeting. during an ending countdown it offers keep recording and end now. collapse it when you want less detail - ordinary timer updates do not reopen it, and dragging the surface never changes whether it is expanded. open meeting activates miniti and brings the main window forward; if that window was closed, it creates it again. the surface stays hidden when there is no prompt or recording. drag it anywhere, or turn off show recording indicator under settings → general → appearance without disabling smart meetings. smart meetings does not require notification permission. prompts still appear inside miniti when notifications are unavailable.

what the switch controls

turning off smart meetings disables inferred call detection, quiet and transition prompts, and automatic call-end countdowns. if you turn it off during a countdown, miniti cancels the pending end and resumes the same recording. it does not change your existing settings for:

• auto-stop after silence
• calendar auto-start
• auto-stop after a calendar meeting ends
• one-minute meeting reminders
• the independent macos recording indicator

turn those settings off separately if you want a fully manual workflow.
